Understanding Cancellation Fees

How A Fee-Based Cancellation Policy Supports Our Community and Fosters Accountability.


Our fitness studio strives to create an environment of accountability, discipline, and mutual respect. To assist with this, we have a fee-based late cancel and no-show policy that is essential for our classes' smooth functioning and benefitting all our clients and members. Here's a closer look at why this policy exists and how it upholds various values within our community.



Accountability, Responsibility, and Discipline

Our policy encourages members to commit to their reservations. When you book a class, you commit to yourself, the community, and the instructors. Adhering to the cancellation policy demonstrates accountability, responsibility, and discipline, which are crucial traits that foster a reliable and trustworthy community and support a consistent and successful fitness routine. Respecting others' time and opportunities is a core value in our community. When you cancel late or don't show up, you potentially take away another member's opportunity to use their membership & participate in a class.


Incentivizing Timely Cancellation

  • 24+: To encourage timely cancellations, we've structured our policy to return your pass to your Momence account as long as you cancel 24 hours or more in advance. This allows you to manage your schedule without penalty because it was done in a timely manner.

  • Between 24 and 2 hours: You lose the pass associated with your reservation but will not assess any additional fees.

  • Less than 2 hours until class: Canceling within 2 hours before the class starts will result in a $15 late-cancel fee. Why? Canceling more than 2 hours in advance allows the automated waitlist program to fill your spot with interested students. (We stop the automated waitlist 2 hours before class time to avoid students being notified of a spot without enough notice to arrive on time.)

  • No Show: A no-show fee of $30 is assessed if you neither cancel nor show up, emphasizing the importance of respecting the booking commitment.

Additional Considerations:

  • Protecting Instructor Revenues: Our instructors are dedicated professionals who prepare extensively for each class. When you no-show or cancel late, it undervalues their effort and time and impacts their earnings. As the studio owner, I am responsible for supporting our instructors by creating and enforcing policies that ensure they are compensated for their work. Our policy helps protect their revenue and acknowledges their commitment.

  • Maximizing Class Utilization: A well-attended class benefits everyone, creating a more engaging and energetic environment. Ensuring spots are filled helps maintain this dynamic.

  • Operational Efficiency: Our front desk and administrative staff work hard to manage schedules and waitlists. Timely cancellations help them operate more efficiently and focus on enhancing your experience.

  • Community Culture: Upholding this policy fosters a culture of mutual respect and consideration, where members understand and appreciate the impact of their actions on the broader community.
